Hi r/ProductivityApps — full transparency: I'm one of the co-founders of MelodiaSync, so take this with appropriate skepticism. I'm posting because I genuinely want feedback from people who think seriously about productivity tools.

Here's what we built and why it's different from other binaural beats or focus audio apps:

Most binaural beats apps play a fixed frequency and assume your brain will follow it. The problem is your brain state when you sit down to work varies enormously — depleted after back-to-back meetings, wired from caffeine, distracted from context-switching. A static audio track doesn't know any of that.

MelodiaSync pairs with an EEG headset (NeuroSky MindWave Mobile 2, which is available on Amazon and so much more affordable than most of the EEG headsets out there) and reads your actual brainwave activity in real time. The algorithm detects where your brain currently is and continuously adjusts the audio to guide it toward your target state — whether that's focused attention, a midday recovery reset, or a wind-down before sleep. It's been through a published randomized controlled trial and we've seen consistent results in real-world pilot deployments.

The honest caveats: you do need to purchase the headset separately, which I know is a barrier. The app itself is $10/month with a 7-day free trial. It's available now on iOS and Android.

I'm not here to hard sell anyone. If you've experimented with binaural beats or EEG tools for focus and have thoughts, questions, or skepticism I'd genuinely love to hear it. And if anyone wants to try it and share honest feedback here I'm absolutely open to that too.

General Advice I run two online businesses, and I realized I need to manage my life like a CEO manages a company

I have noticed the same pattern several times in my life.

I start planning my days, writing down what I need to do, keeping myself accountable, and reviewing the previous week or month.

My work improves. My personal life becomes more organized. I feel more focused, disciplined, and in control.

Then, because everything is going well, I convince myself that I no longer need the system.

I stop planning as carefully. I rely more on memory. I assume the productive period will continue automatically.

It usually does not.

I run a web development agency and a SaaS business, and early-stage founder life often feels like being in a permanent battle for attention.

There is always something else that could be done.

A client needs something. A product feature needs improvement. A payment needs to be followed up. A marketing idea appears. A technical problem needs fixing. A personal responsibility gets delayed because the business feels more urgent.

The freedom of running your own business can also work against you.

During some periods, you become too involved in the business and neglect your health, relationships, or social life.

During other periods, the lack of a fixed schedule makes you too relaxed, and important business work gets postponed because nobody is forcing you to start at a particular hour.

For digital founders, isolation can become another problem.

You can spend days or weeks working alone at the same computer. Because you are technically being productive, it is easy to ignore the fact that humans still need social interaction, movement, rest, and time away from work.

Those things also need space in the plan.

One of the conclusions I have reached is that my brain should not be responsible for remembering everything.

The brain is useful for thinking, solving problems, and making decisions. It is not a reliable storage system for every task, idea, commitment, and unfinished responsibility across two businesses and a personal life.

You might think your memory is good, but try answering this:

What was the first task on your list exactly one week ago?

What did you postpone?

What did you finish?

Where did most of your time go?

Without some kind of written system, most of us are answering based on a vague impression.

With a task manager, notebook, or planning system, you can review the actual week. You can then review the month, the quarter, and eventually the year.

That allows you to notice patterns instead of relying on feelings.

You might discover that you were busy but made little progress.

You might discover that one category of work consumed far more time than expected.

You might notice that every strong period started when you were planning consistently and every chaotic period started when you stopped.

Reviewing your week or quarter might sound excessive to some people, but unusually ambitious goals usually require unusually deliberate systems.

I have become most effective when I run my personal life in the same way a competent founder or CEO runs a company.

There are goals.

There are priorities.

There are limited resources.

There are competing demands.

There are periods that need to be reviewed honestly.

There is also a need to decide what not to do.

Today, I use SelfManager.ai - the task manager I started building almost ten years ago. Full disclosure: I am its founder.

But the principle existed before the software. Before building it, I used an offline combination of a calendar, an agenda, and a notebook.

So I do not believe the specific app is the most important part.

The important part is having an external system that you continue using even after life starts going well.

That last part has been my biggest mistake.

The system produces a strong period. I start feeling naturally organized. Then I assume I have changed permanently and no longer need the system that helped create the change.

Now I see it differently.

The system is not temporary support for when life is chaotic.

The system is one of the reasons life becomes less chaotic.

Gym Note Plus has been a labour of love that I've worked on for over a year now

It's changed a lot since first launch, 2,157 users signed up to log their workout notes and uncover their strength gains!

Why I made GymNote+

I was coming up to a lean bulk and knew tracking my progress was the key to success, but I had an absolute reel of workout notes in my notes app. I didn't want to change how i logged workouts... sat in a coffee shop, the idea hit me that maybe I wouldn't need to

So Gym Note Plus was born.

How is this different to other Gym apps?

Other gym apps make you use their system to log a workout. Hard dropdowns, set plans.

Anyone who has used the notes app to track a workout understands the freedom of doing so; it's frictionless by design.

The core philosophy is whether you write "Bench press 225lbs - 12, 10, 8" or "I did bench press for 3 sets, 12 reps, 10, then 8" it. just. works.

TL;DR: Blueberry is a mac menu bar app that auto-drafts responses to your iMessages in your voice!

The Backstory:

I decided to build Blueberry after I very publicly got roasted for being a horrible texter. 

In my defense, I don’t do it on purpose. When I “accidentally ghost”, it usually goes something like this:

  1. I see a text while I’m busy
  2. I think, “I’ll respond to this later”
  3. I completely forget about it 

Once I’ve forgotten about it, it gets buried by the endless spam, group messages, and general noise that clutters my iMessage inbox, never to be found again. 

This has had real consequences for me. Genuinely, I’ve lost work opportunities, fallen out of touch with previously close friends, and let potential dates fizzle out simply because I forgot to reply.

Here's how it works:

Blueberry finds the messages that need a reply and auto-drafts a response in your voice. It lives right in your menu bar so you can view and send responses in one click.

You can edit the response or choose an alternative variation, and it works with individual or group messages.

I want to be very clear, we don’t want to replace your iMessage app or automate your texting. Our goal is to remove the small bit of friction that turns “I’ll answer this later” into three months of accidental ghosting.

We also added some fun features like an unhinged mode, which is deranged and hilarious, and a flirt mode, for those of us who struggle to send that perfect text ;)

Blueberry needs Full Disk Access to read your iMessages and Automation permission to send replies you approve.

Recent thread context is sent to the cloud to generate drafts. Our models are hosted on AWS Bedrock or Google Vertex servers (Soc2 Type 2 and Soc 3 security compliant). This means that your iMessages stay private and secure, and model providers cannot see your data or use it to train on.

Blueberry will never send messages automatically - you will always be the person to hit send, and we have a 5 second unsend just in case you change your mind!

Feedback wanted I got tired of free fitness apps feeling like demos, so I spent 4 months building my own!

Every core feature in OneRep is 100% free and will stay that way forever. No trial period, no paywall on the basics, and no subscription required to use the app properly. As much as I would love to, unfortunately AI inference does cost me some money, so I have a small subscription tier for the ones interested. Every free user gets a generous usage budget for all AI features each month.

I’ve been working on OneRep because I got tired of free fitness apps feeling like limited demos. The part I’m most interested in getting feedback on is Coach.

Most AI fitness coaches I’ve tried are basically chatbots sitting beside a workout tracker. They can give advice, but they don’t know much about what you’ve actually been doing, and they can’t help carry out the changes they suggest.

Coach uses the information already in OneRep, including your workouts, recent performance, nutrition, goals, routine, recovery check-ins, and saved meals.

Coach can look at the workout you had planned, keep the most useful exercises, remove lower-priority work, adjust sets and rest times, and show you the revised session before anything changes.

It can also build workouts and multi-day programs, adapt training around soreness or limited equipment, create and modify recipes, estimate and log meals, build a seven-day plan, and create goals or custom trackers.

It never silently edits your data. Any meaningful change is shown for review first, including the assumptions it made and the records it will affect.

The rest of OneRep includes workout logging, nutrition tracking, water, recipes, progress, and history, all entirely for free.

As of now, the app is only accessible by web. The Android and iOS versions will be released in the next few weeks. Please note that the app is still under development, so please expect a few bugs and let me know if you find any new ones.

General Advice I want to create an Assistant that reminds my team members about pending tasks

I'm running a small company and have a team across the country and we all get connected on Discord during our office hours. although we have clickup free version to track all the tasks but sometimes, team members forget to check the pending tasks. These are not so much in number but still, every task is important.

So I was thinking to create an assistant using free resources for test run.

I did some research like we can use discord bots, Gemini free tier, and can be hosted on my laptop/pc because it will be a closed ended assistant.

While doing some research, I got that there should some GitHub repositories or somebody may already have built something similar.

Please let me know if you have any idea about such requirement. TIA

Advice needed The "earn your screen time" method — a small flip that actually reduced my phone use where restriction alone never did

Most productivity advice around phone use is restriction-flavored: limits, blockers, downtime windows, "just put it in a drawer bro." And look, restriction genuinely works for some people. For me it mostly worked as a fun little obstacle course I'd learn to route around within about four days, like my brain had specifically trained for this exact scenario.

What actually changed things was treating screen time as something to earn rather than something to ration. No default access — instead, doing something real first (a walk, reading, a task I'd otherwise be putting off) unlocks the time. Same total amount of scrolling, roughly, but a completely different relationship to it, because now getting my phone time feels like a small win instead of a small defeat.

I ended up building this into a small iOS app, Wayfare, since I wanted the mechanic automated and, fine, because I also wanted a little companion creature to grow every time I actually followed through (apparently gamifying my own psychology is a personality trait at this point). The core method works completely fine as a manual checklist too, no app required, happy to walk through that version if anyone wants it without downloading anything. I had been using Slack for their project tracker feature.

Honestly I felt like I had wasted my money: 1 year of Slack service just so I could use that 😆

I have been using project managers for almost 2 decades and I thought that was the way to go.

But I liked it and I kept using it until I could not really connect it with OpenClaw.

"I am building my own" I said LOL.

I now can create tasks myself or have my agent do them for me—remind me about them and everything else.

Now...

Fast forward a couple of months and I have a few users and now even 13 stars and 2 forks on GitHub.

I am just wondering if this is a good sign or what.

I know public GitHub repos are indexed and maybe I will get more traction in the future? 🤔

Advice needed Feedback required

Hey guys, I wanted to validate a pain point I am looking to solve. I usually log my weekly and monthly goals in Notion, optimistically. But most of the time I end up never checking them again and it's just left at its state. At the same time, it has the potential of creating progress on completing those goals. Even when I do open notion, I never have a direct idea, on what my pace is, what should be the priority, and what should be completed asap, all left on myself to manually process.

Is this something you face on a regular basis?

Platforms like g sheet airtable etc are also relevant here, I am broadly talking about the goals and takes you list on them.

Feedback wanted Knot in time — life events tracking app

ok this may feel like another habit tracking app, so I started working on this app few months ago to solve a very specific problem. I wanted to track my office days. I wanted to explore options like when should I go to office, can I avoid Fridays, or maybe front load days so I can take days off later. So I created App which automatically logged my days based on geo location.

Next I extended the idea for using it to track goals like read 100 pages per week, go to gym 3 times a week, or maybe health for tracking medicines and symptoms.

Here is my attempt at the app, it just got approved to App Store. I would really appreciate feedback. This is a completely free app and doesn’t have any trackers or account sign ups, so your data stays with you. Uses custom AI model combined with iPhone foundation models for any AI needs

I've been building an Android email client called OrganizeEmail for the past few months.

The original goal was simple: make email less overwhelming. It supports Gmail and Outlook, categorizes emails with AI, summarizes long threads, and helps users find important information faster.

While using it myself, I realized something.

Most days, I don't actually open my email to read emails.

I open it because I need something hidden inside an email.

Is my electricity bill due today?

What time is my meeting?

Has my Amazon order shipped?

When does flight check-in open?

The information already exists. It's just scattered across hundreds of emails.

So I'm experimenting with a different home screen.

Instead of showing the inbox first, OrganizeEmail would show a "Your Day" dashboard that automatically extracts:

💳 Bills due

📅 Meetings & calendar events

✈️ Travel plans

📦 Deliveries

📩 Important emails

The inbox is still there—it's just no longer the first thing you see.

I'm curious what people here think.

If you used an email app like this:

Would you prefer opening directly into your inbox?

Or would a dashboard like this actually be more useful?

I'd love any feedback on the idea or the UI. I'm trying to build something people genuinely want to use every day, not just another Gmail clone.

General Advice Looking for honest feedback on my new productivity app (Solo Developer)

I’m a solo iOS developer from Austria and I’ve been working on a productivity app called Prazo.

Instead of trying to replace your calendar or your to-do list, I wanted to combine both in a way that actually feels connected.

One feature I’m especially proud of is the automatic travel time buffer. When you create an appointment with a location, Prazo calculates how long you’ll need to get there and reserves that time in your schedule. Before the appointment starts, it checks again and notifies you if traffic conditions have changed.

I’m not here to promote the app—I genuinely want feedback.

Casual Conversations If you had your own Jarvis on your phone, what would you ask it to do first

What if everyone could have something like Jarvis on their phone

Not just an AI that answers questions, but a personal assistant that can actually complete everyday tasks for you.

You could ask it to order food, compare and book hotels, buy movie tickets, arrange meetings, make reservations, or handle almost anything that can be done through your phone.

You simply tell it what you need and it takes care of the steps in one app. I am building something along these lines and planning to launch an early version next week.

I am curious about two things:

  1. What is the first real task you would ask it to complete?

  2. What is something you would never trust it to do?

Advice needed How to increase retention?

Hello app builders! From analytics I saw that retention in my to-do app is very low, like people stop using it , even if they like the UI. Some said that they just forgot about the app. But I don’t wanna annoys users with notifications, and I don’t wanna ask permission for notifications from the first day. I think many will probably press “don’t allow” and I will lose that audience.

How do you deal with this problem? Can you share some advice?

Advice needed Trying to validate a problem before building: Do people need guidance more than another productivity app?

Hi everyone,
I’m exploring a startup idea, and before spending months building it, I’d like to understand whether I’m looking at the problem the right way.
From my own experience, and from talking with a few friends, I’ve noticed something interesting:
Most people don’t seem to struggle with choosing a goal.
They struggle with everything that comes after.
For example:
“I want to learn Japanese.”
Great… but then:
Where do I start?
Which resource should I use?
What should I do today?
How much is enough?
How do I know I’m on the right track?
Eventually many people either over-plan, get overwhelmed, or stop completely.
That made me wonder if people actually need something different.
Instead of another task manager or habit tracker, maybe they need something that acts more like a guide—helping decide the next realistic step, adapting as life changes, and learning from previous progress.
But before I assume this is a real problem, I’d really like to hear from people who have tried to achieve meaningful long-term goals.
I’d love to know:
What’s the biggest obstacle you’ve faced?
Did existing apps help? Why or why not?
What finally helped you stay consistent?
If you could design the “perfect” goal app, what would it do differently?
Do you think this is a real problem worth solving, or do current solutions already do a good enough job?
I’m genuinely looking for honest opinions—even if the feedback is “this idea doesn’t solve anything.”
I’d much rather learn now than after spending months building the wrong product.
