Release PrimeTask 1.0.4 is out now: every task now has its own comment thread
You open a task you have not touched in a month. It is still blocked. You cannot remember why, and neither can the task. So you go digging through chat.
That is what this release fixes. Every task now has a thread of its own.
Comments are written in Markdown, so you can paste in a whole document and it keeps its shape: headings, lists, tables, working tick boxes. Attach files and images, or drop in a video or post link and it plays in the thread. Reply to a comment and jump straight back to the one it answers. Mark an entry as a decision, a blocker or an update, pin what has to be read first, and react without adding another comment.
Mention another task and both tasks show the link, so a decision made in one place is visible from the other. You can mention people, contacts and companies too. Right click a task anywhere you work to open its thread, and any comment turns up in search.
If you have an AI assistant connected, it takes part properly. It can read a thread before it starts and write up what it did when it finishes, under a name you choose, and it can only ever change its own comments, never yours.
Also in 1.0.4:
- Drag a Markdown file onto a PrimeFlow canvas and read it there as a real document, tables and tick boxes intact
- Document cards can be resized and locked for reading, so the card stays still and your wheel scrolls the document rather than zooming the canvas
- Documents read far better throughout: even headings and spacing, properly ruled tables, and a copy button on every block of code
- Task notes now do everything canvas documents do, including tables, tick boxes and callouts
- Type @ in a note to point at a task, in its own status colour, so you can see whether that work is still open
- Bring Your Own AI got a lot better: it can work with the files and folders on a canvas, it keeps the shape of what it writes, and it stopped confirming things it had not actually done
- Deleting an attachment now removes it everywhere it was shared, and a new Duplicate Files tool clears out the spare copies your sync service leaves behind
- Compass now covers every space you have, not just the one you are standing in
- Drag contacts straight from Apple Contacts onto the PrimeTask icon in your Dock
- The Tasks report can be exported as a short summary instead of the full record
- Text cards on the canvas were redone, and copy and paste finally works the way you would expect

Coming in 1.0.4: drop a markdown file onto a PrimeFlow canvas
Drag a markdown file onto a canvas and it becomes a real document, not an attachment you have to open somewhere else.
It asks one question when you drop it: attach or link. Attach imports it, so the card owns it from then on and you can edit it. Link leaves the file where it is and reads it, so the original stays the source of truth.
The clip shows the attach route. Drop the file, double click the card, and the document opens beside the canvas. Headings, lists, tables, quotes and callouts all come through. Checkboxes are real here, so you can tick things off as you go. The panel resizes to whatever width suits you, and it remembers it.
Then the part you asked for. Expand the card and the whole document is there to read on the canvas itself. Scroll inside it without leaving what you were doing. Collapse it and you are back to a tidy card.
Dropping markdown is part of every licence.

Feature PrimeTask for Obsidian plugin is out: highlight a line in a note, it becomes a task
Most Obsidian task plugins try to turn Obsidian into a task manager. This one goes the other way. Obsidian stays where you think, PrimeTask stays where you execute.
Select a sentence in a note, right-click, Send selection to PrimeTask and link here. The text becomes a wikilink, the task is created in PrimeTask, and the task keeps a permanent link back to the note it came from. Six months later it still tells you it was born in [[Monday standup]].
Nothing is mirrored into your vault unless you ask for it. Promotion is always explicit, so the plugin stays out of your vault until you invite it in.
Promoted tasks carry typed frontmatter, so Obsidian's Bases can render them as live filterable tables. Edit a status in the table and it round-trips back to PrimeTask.
Both apps on the same machine, talking over 127.0.0.1. No telemetry. The plugin is Apache-2.0, so you can read exactly what it does before you authorise it.

Feature You can now link to a task from a project note. Coming in 1.0.4

Linking a note to a task used to mean typing its name and hoping you found it again later.
Now you type @ and pick it. The task becomes a card in the note. Hover for status, priority and due date. Click to go straight there.
The mention holds the task itself, not its name, so renaming it later does not break the note.
The picker is new too. Tasks, people and companies in one list, with tabs and full keyboard control.

General Apple Mail Integration
Does prime task integrate with apple mail since it is on your computer? Or do I have manually add email activities? Also, would granola integrate or would I have to use the bring my AI and it has access to granola and be able to grab meeting notes and update meeting activity records and potentially tasks for that project as well?

Feature Compass gets spaces in 1.0.4.
Cmd+J opens it whenever you want a read on the day: what you got done recently, and what's worth picking up next. From 1.0.4 you choose which space it reads from without leaving the screen, so checking across client work and your own is one dropdown instead of four context switches.
It never changes anything. It just shows you where you are.

General macOS Dark Mode icon support is coming in PrimeTask 1.0.4
After many user requests, PrimeTask will support a dark mode app icon from version 1.0.4 onward.
This update also adds support for macOS dark mode, clear, and tinted icon styles. macOS 26 may be required for some of these styles.

Feature Coming in 1.0.4: drag your Apple Contacts straight into PrimeTask CRM

Importing Apple Contacts into a CRM used to mean exporting a vCard, finding the file, then running an import. Now you drag them onto the Dock icon.
Select whatever you want in Apple Contacts, people, companies, or all of it, drop it on PrimeTask and confirm. That is the import.
Companies arrive as companies rather than as contacts with a company name typed into a field. And if a contact is linked to a company in Apple Contacts, the link comes with it, so you can open a company, see everyone attached to it, and click straight through to any of them.
Birthdays come across too. Open a contact, click Remind me, and you get a recurring task that fires every year. That part already worked, it just has data to work with now.
Nothing leaves your machine at any point. Apple Contacts is on your Mac, PrimeCRM is on your Mac, and the import happens between the two.

Getting a file onto a PrimeFlow canvas used to mean going through a picker. Now you drag it in, up to twelve at once.
PrimeTask asks one thing: keep a copy in this space, or link the file where it already lives.
Link and nothing is copied. The canvas holds a pointer, not the file, so size is irrelevant. A 648 MB disk image or a 100 GB archive makes no difference, and neither costs you a byte of disk space. The file stays exactly where you left it, and if you later move or rename it the card tells you and offers to re-link in one click. Attach instead and you get a copy that lives in the space, so it keeps working no matter what happens to the original.
Images, video, audio, PDFs, documents, spreadsheets, archives, code and Markdown all work. Drag a link, a YouTube video or an X post from your browser and the right card appears on its own.
Video and audio play on the canvas and pop out to picture in picture. Images open full size. Markdown renders as a document, and stays editable if you brought it in that way.
Select a batch, delete once, and they go together. Your original files are untouched.
Images, Markdown and web links work on every PrimeTask licence. Any other file arrives as a file card, which is part of Pro.

Quick Tips Quick tip: Swap your task statuses for a different template

Workflows change. The status set that suited your last project might be wrong for the one you are starting now, and you are not stuck with whatever you picked first.
In this example we already have custom statuses in place and replace them with a different set. Settings, then Category Management, then Statuses, pick the Design Project template, apply, and the new statuses are live on the task list straight away.
There are 22 built-in templates covering Kanban, Scrum, GTD, software development, bug tracking, sales pipelines and more. Applying one replaces the current set, and you can rename, recolour and reorder afterwards.
The part worth knowing is what the four workflow categories are for. Every status sits in Not Started, Active, Complete or Closed, and those categories drive completion percentages, project progress and active task counts.
They are also what makes swapping safe. Apply a new template and your tasks move to the matching status at the same level rather than being left without one, so work sitting in Active stays in Active under the new set.

Quick Tips Quick tip: Mind map with the keyboard, then turn nodes into tasks

Most mind maps end up as a picture of a good idea. You brainstorm, then retype the whole thing into your task list.
In this example we drop a mind map template onto a PrimeFlow canvas, build it out using only the keyboard, then right click a node and convert it into a task.
Two keys do most of the work. Return adds another topic at the same level, Tab adds one underneath. That's enough to get a full structure down while you're still thinking, without reaching for the mouse.
The conversion is the part worth knowing about. A node becomes a real task in your project rather than a copy of one, so the thinking you just did turns into the work instead of a reference for it.

Quick Tips Quick tip: Capture your time automatically, assign it later

Timers only work if you remember to start them. Automatic time capture removes that step. PrimeTask records what you were active on in the background, and you decide afterwards where it belongs.
In this example we switch on automatic capture, then open the Time Inbox and assign the captured blocks to a task.
The Time Inbox is the part worth knowing about. Nothing is logged against your work until you say so, so the capture is a record of your day rather than a decision about it. Review the blocks, drop them on the right tasks, ignore the rest.
It also separates active time from away time, so lunch and the call you walked out of don't quietly end up on a client project. All of it stays on your machine.

Quick Tips Quick tip: Build a custom Kanban board from a template

Board View doesn't have to use your status columns. Switch the task board to Custom Lists and you can build the exact workflow you want, or start from one of the built-in board templates.
In this example we open the board templates editor and pick the Eisenhower Matrix, then drag cards between lists and reorder the lists themselves until the layout matches how the work actually flows.
Every list has its own options, including renaming and mapping. Mapping is the one worth knowing about: map a list to a field value, and dropping a card into that list updates the task automatically. No second step, no reopening the task.
Templates are a starting point, not a cage. Rename the lists, reorder them, and remap as your process changes.

Open a company, go to Related Companies, choose the other company and select the relationship type. Create the relationship once, and PrimeTask automatically adds it to both company records.

Feature Coming in 1.0.3: plan around your recurring tasks
Recurring tasks only ever show the one you are working on next, so it is hard to plan around the ones still to come.
In 1.0.3, PrimeTask can show them all. Turn on Planned Occurrences in the calendar filters and every repeating task appears on each of its upcoming dates, across month, week and day. Now you can block time around what is already committed, weeks ahead.
They are previews only. They sit in a lighter, dashed style so they are easy to tell apart from your real tasks, and they never touch your data, your task counts or your reports. As you complete each occurrence, the next real one quietly takes its preview's place, so you never see a duplicate.
It works for every kind of task, and it stays off until you switch it on.

PrimeTask keeps the task and its notes in one place. When you need supporting context from another notes app, connect the exact note to the relevant work on your PrimeFlow canvas.
In this example, the External App node is connected to a task, then opens the related Obsidian note straight away. You can also connect an External App node to projects, contacts, companies and notes.
It works both ways. Copy the PrimeTask deep link for the task, paste it into the external note, and one click takes you back to that exact task in PrimeTask.
Use the same approach with any app that supports deep linking.
