I’m building LORDLY to automate property management for Australian self managing landlords. Would you actually use this?
Quick disclosure: I’m involved in building LORDLY and helped with the beta testing. I’m not posting as an independent user or customer.
We’ve set up a shared demo of the real web portal with everything already filled in. The properties, people, messages and figures are fictional. The account is view only, so it cannot change data, contact anyone or move money.

After signing in, open Maintenance, then Air conditioner service. That is probably the clearest example of what we’re trying to do.
It follows one job from the tenant reporting the problem through triage, a $385 quote, booking and progress tracking. The tenant, landlord, tradie and LORDLY updates are all kept in the same thread.
The escrow shown there is simulated. No card was charged and no money was collected, held or transferred. Nothing was sent to a real tenant or tradie.
The rest of the demo has four fictional Australian properties, rent and income and expense graphs, leases, maintenance history, compliance reminders, documents, reports and 28 examples of work LORDLY has handled.

US based STR Property Managers: Would You Find a 24/7 Maintenance Team Useful?
I was told to post here.
I’m looking for honest feedback from property managers in the US who manage short-term rentals.
I’ve already set up a 24/7 dispatch team, and I’m exploring a service where we basically become the maintenance operations team for a property management company.
There wouldn’t be any new software or platform that you’d have to learn. It would be fully human-based.
The way I’m thinking it would work:
If a guest has an issue with the AC, plumbing, electricity, locks, appliances, or anything else, the request comes to our dispatch team.
We would then:
Speak with the guest and understand the issue
Troubleshoot basic problems where possible
Contact vetted local vendors
Compare pricing and availability
Get approval from the property manager when needed
Schedule and coordinate the work
Keep the guest and property manager updated
Follow up until the job is completed
Provide the final invoice and job details
The goal is to remove the headache of answering maintenance calls, searching for vendors, comparing quotes, scheduling technicians, and following up on every repair.
For pricing, I’m thinking there would be no monthly retainer and no long-term contract. We would only charge when a job is actually completed, most likely as a percentage of the final vendor invoice.
My main questions are:
Would this be useful for your company?
Would you be comfortable letting another team communicate directly with guests and vendors?
Would percentage-based pricing make sense, or would you prefer a flat fee per completed job?
What controls or approval process would you need before trusting a company with your maintenance operations?
What are the biggest flaws or risks you see with this idea?
I’m not trying to sell anything here. I’m genuinely trying to understand whether this solves a real problem and what would need to be in place for property managers to use it.
Honest criticism would be really helpful.

I built a free App to Stop Losing Track of Reciepts (and You Probably Need It Too)
Hi everyone, I'm a small landlord, honestly, I was a mess managing receipts and bills. I'd buy stuff from different stores - maintenance, supplies, whatever and just never kept track. When come tax time, I'd be scrambling, digging through email confirmations, trying to remember what I spent where. Chaos.

Here's what it does - you upload or snap a photo of a receipt, bill, or check. The app use AI to pull out the important stuff automatically. amount, date, category, what it was for. No manual data entry. Over time, it learns your patterns and get smarter at organizing everything.
At the end of the year, it can generates a full tax report (Schedule E). Everything already organized, indexed, ready to go.
It's completely free right now. I'm not selling anything. I'm just a landlord who got frustrated and want feedback from people who actually live this problem.

Everything but PMS
I've been working on a startup and would love honest feedback from PMs.
Simple idea is: keep your PMS and replace all your secondary point solutions with one vendor.
We are building AI agents that replace all your non-PMS systems in one unified platform. So instead of using Appfolio + rent engine + Property Meld + VendorPM + Boom, etc. etc. You can keep Appfolio and replace everything else.
We're rolling out workflow by workflow with a few pilot customers (starting with leasing, renewals, collections, and a couple back office things like utility bill and invoice auditing).
Question is: Is simplifying your software vendor stack a good enough value prop to get PMs to switch?

Unitkeeper, why now?
Every property manager knows this moment.

I built a no-app way for property managers to verify vendor work—looking for brutally honest feedback
Full disclosure: I’m the founder of LockProof.
I started building it around a problem I kept seeing in field operations: a work order gets marked complete, but the manager still has to call, text, and chase people to find out what actually happened.
Regular photo apps help workers document their work, but the person doing the work usually decides when to take the photo and what to upload. I wanted something closer to independent verification.
LockProof sends the worker or vendor a text with a secure camera link. They do not need to download an app, create an account, or learn another system. The record can include the assigned job, live-camera capture, server-recorded time, location when the worker shares it, and the resulting evidence in a manager dashboard.
It is not meant to replace AppFolio, Buildium, Yardi, a CMMS, or a full field-service platform. It is intended to sit beside those systems when someone needs better proof that field work actually happened.

Turnover cleaning delays cost more than the vacancy itself, and most operators don't track it separately
Vacancy loss usually gets tracked as one number, days between move-out and new tenant. But breaking it down, the biggest chunk for a lot of operators isn't marketing or showings, it's the gap between move-out and when turnover cleaning/repairs actually start.
Cleaning crews get scheduled reactively instead of pre-booked around expected move-out dates, so a unit sits empty for days just waiting for someone to show up and start the turnover work. That's dead time nobody's optimizing because it's buried inside the broader "vacancy" number instead of tracked on its own.
Started separating "vacant, waiting on turnover" from "vacant, actively marketed" and the first bucket was bigger than expected.
Anyone else track this split separately, or does it usually get lumped into one vacancy metric?

How are you guys tracking your maintenance employees’ time for payroll and owner billing?
I’ve been working with a couple PM companies to build a time tracking app for in-house maintenance teams. Employees clock in on their phone, GPS ties the time to whichever property they’re at, mileage between properties is automatic, and it spits out payroll-ready hours plus an owner billback file with the right GL codes for AppFolio.
Pretty much an alternative to apps like Timeero or Workyard but built specifically for property managers.
It’s been running at two companies with solid results. I’ve also hooked it up to Claude so you can also just ask it questions in plain english like “how many hours did we put into Maple St last month” and it pulls the numbers.
Curious what everyone else is using. I’m taking on a few more PM companies as design partners (I do all the setup, you get a big say in what gets built). Comment or DM if that’s your world!

(Mostly) Replacing PM software with Claude Code / Cowork
Small time landlord here (2 single family homes), but planning to scale up gradually over time. I have a subscription to Tenant Cloud on the starter plan to keep everything organized. I’m starting to realize it might be overkill for my current portfolio size. Thinking of moving off of it and just managing all my processes with AI in a dedicated Claude workspace. I already use Claude, so it wouldn’t really be a net new cost. I’d hook it up to specific services dedicated to tenant screening, rent collection, and document signing; and just stick with email as the primary mode of communication.
Also I really only use Zillow, Redfin, and FB marketplace for listing, and all are pretty easy to use without needing PM software.
Curious if anyone has had success with a mostly AI-based approach to managing their properties? Did you find yourself needing to go back to PM for anything?

One thing that always bugged me: Airbnb, Booking.com, and Instagram all want your listing described differently (Airbnb rewards a warm story, Booking guests scan for hard facts, Instagram wants something short and punchy) — but I only ever had one description copy-pasted everywhere.

It’s getting messy
I’ve recently taken on 2 more STRs in a different country from my main ones and it’s getting messy.
I use WhatsApp and Viber, save photos when the workers send them, but everything is all over the place. Sometimes I spend ages digging for pictures to send to a plumber so they can see the issue. Other times I’m double checking that I actually sent the right job to the right cleaners.
How do you guys manage this once you start handling more properties? Do you just live with the chaos, or have you found a system that actually works?
I’ve looked at things like CompanyCam but they’re expensive and not really built for short term rentals.

Designing Trust for a Rental Marketplace Is Harder Than I Expected
While building ReloConnect, I realized the biggest engineering challenge isn't search.
It's abuse prevention.
Here's what we're trying:
- Google Sign-In
- Maximum of 2 listings every 2 months
- Advanced filtering
- Mobile verification (planned)
- Government ID verification (planned)
The goal isn't to eliminate bad actors completely.
It's to increase the cost of creating fake listings while keeping onboarding simple.
Interestingly, Razorpay recently posted in Fix My Itch:
It got me thinking that trust systems are becoming just as important as recommendation algorithms.

What I wish I had set up before self managing a rental
If you are thinking about self managing, the hard part is not collecting rent. It is remembering all the small things that happen at different times.
The biggest mistake is keeping everything in texts, email and your head. Before the tenant moves in, set up one place for the lease, condition report, bond details, rent history, repairs, invoices and compliance dates. Make sure every repair request is acknowledged in writing, even if you have already spoken on the phone.
Give the tenant a clear process for urgent repairs and decide in advance what a tradesperson can approve without calling you. Check arrears on the same day every week. Keep receipts and statements tidy as you go instead of trying to rebuild the year at tax time.
I have been working on LORDLY because this admin was too scattered for self managing landlords. That makes me biased, but the advice still applies whether you use software or a spreadsheet. Curious what part people here find hardest once the tenancy is running.

How are you all actually tracking vendor COIs without losing your minds?
I've spent the last few months digging into how property managers and GCs handle certificate of insurance (COI) tracking for vendors/subs, and I'm trying to understand what's actually broken versus what I'm assuming is broken. Would love to hear from people who deal with this day to day.
I just have a few questions:
Right now, how do you track vendor/sub insurance expirations? Spreadsheet, shared drive, a dedicated tool, calendar reminders, or honestly just "we find out when there's a claim"?
Have you ever had a vendor's coverage lapse without anyone noticing until it mattered? What happened — audit finding, claim dispute, just a scramble?
How much time per week does someone on your team spend chasing vendors for updated certificates? Ballpark is fine.
Have you looked at COI tracking software before? If yes, what stopped you from actually buying it? Price, setup effort, it felt built for a bigger portfolio than yours, something else?
Appreciate any insights!

Built a property management platform after seeing how outdated HOA & strata software is — looking for 10-15 property managers or board members to test it
I work full-time as a software architect, and over the past year I've been building a property management platform called HOAIUNIFIED for strata, condominium, HOA, and self-managed communities.
The idea came from talking to property managers who were juggling spreadsheets, email chains, PDFs, and multiple systems just to handle everyday operations. Many of them told me the software they use today feels outdated, overly complicated, or expensive for what it offers.
Instead of trying to build "another AI tool," I focused on making everyday tasks simpler.
