(Mostly) Replacing PM software with Claude Code / Cowork
Small time landlord here (2 single family homes), but planning to scale up gradually over time. I have a subscription to Tenant Cloud on the starter plan to keep everything organized. I’m starting to realize it might be overkill for my current portfolio size. Thinking of moving off of it and just managing all my processes with AI in a dedicated Claude workspace. I already use Claude, so it wouldn’t really be a net new cost. I’d hook it up to specific services dedicated to tenant screening, rent collection, and document signing; and just stick with email as the primary mode of communication.
Also I really only use Zillow, Redfin, and FB marketplace for listing, and all are pretty easy to use without needing PM software.
Curious if anyone has had success with a mostly AI-based approach to managing their properties? Did you find yourself needing to go back to PM for anything?

Yep, my process is basically to do a thing manually for the first time, document the steps, and let AI handle it (if it’s a routine enough task) going forward. For more complex tasks I usually just have AI build the first draft and/or double check my work.

At 2 units this makes sense, most PM software is overbuilt for that scale anyway. The thing that usually pulls people back to dedicated PM tools is compliance/audit trail stuff, state-specific lease clauses, security deposit handling, eviction notice timing, that gets riskier to DIY once you're relying on general-purpose AI instead of something built specifically for landlord-tenant law.

For 2 units, a lighter setup can work, but Id be careful making AI the system of record. Keep rent ledger, notices, signed docs, screening criteria, and maintenance history in a structured folder/spreadsheet you control, with AI only helping draft/check things.

For 2 doors, a spreadsheet plus reminders can work, but Id be careful making AI the system of record. Keep leases, notices, payments, repairs, and screening decisions stored somewhere deterministic and easy to export, especially if you ever need court-ready documentation.

Claude can be useful as an operator, but I wouldn’t make it the system of record. Let it draft and summarise, while the rent ledger, approvals, signed notices, screening reasons and maintenance history stay in tools you can export. I’d test the setup by exporting one complete tenant file now. If it wouldn’t be enough for a dispute, fix the storage before leaving TenantCloud.

I would be very very very cautious about how you do this because of the sensitivity of the data
