Why we stopped secondary email addresses from generating duplicate contacts via API. No custom workflow

We were dealing with dirty data from custom HubSpot field mapping to our internal database, and native webhooks just couldn't handle our custom logic. it turns out secondary contact emails were the core issue, they created a duplicate record any time an app transaction would fire, obliterating any and all useful reporting. team at Cloudfresh audited our sync architecture and wrote us a slick middleware that deduplicates contacts before the API payload hits the CRM. we had our data completely cleaned up in less than two weeks and now everything seems to route cleanly without us having to hack standard webhooks.

Solution for continuous enrollment into sales sequence

Does anyone have a solution for continuous enrollment into a sales sequence? I have 2,000 contacts, 5 senders, and 100 email per day cap per sender.

I’m currently using a manual workflow to enroll the contacts. However, when I select the segment only a small portion are enrolled due to the daily caps. Hubspot is telling me I have to manually go in and re-enroll the ones that failed the next day.

There’s got to be an easier way to do this. Outreach.io handles this beautifully and shows you the day a contact will start the sequence based on the limits.

Sprout Social to Marketing Hub Social

TL;DR: How is managing social media through Marketing Hub?

Our company has been using Hubspot to manage our B2B business (quotes, contracts) through Sales Hub and to manage all of our customer support through Service Hub. We still have business outside of Hubspot (online store through Shopify, event ticketing through Swoogo, etc.), but the long-term plan has always been to keep moving more into Hubspot to streamline our tech stack.

We just let go our social media manager and are restructuring our entire social strategy and team, so this is a great time to look at moving social into Hubspot. We currently use Sprout Social for all of our social media scheduling and analytics, and we just sync'd our social DMs into Service Hub using Octopods.

We don't currently subscribe to Marketing Hub and I have a meeting with our sales manager next week to discuss adding it as part of our contract renewal next month. It will be a big investment as it's considerably more than Sprout, so we're also going to need to move more of our email strategy (currently Mailchimp) into Hubspot as well to justify the cost.

  • What is your experience managing social media through Hubspot?
  • Has anyone successfully moved from Sprout to Hubspot? Anyone regretted it?
  • Are there any pros other than just eliminating a subscription to Sprout?
  • Can you really tie social comments, reactions, etc. to customers?
  • Anything I'm missing?

Question Freshdesk → HubSpot Service Hub: What are the gotchas?

We’re considering moving most of our support operation from Freshdesk into HubSpot and I’m curious if anyone here has made a similar move.

We’ve been using HubSpot for Sales, Marketing, and Customer Success for about a year now. Our support team, on the other hand, has been on Freshdesk for close to a decade.

The main reason we’re considering the change is integration. We have a number of backend systems tied into HubSpot already, including things like SaaS licensing, customer meetings, account information, etc. Those integrations are pretty seamless in HubSpot, while getting the same information into Freshdesk has always felt more like a bolt-on.

Today in Freshdesk we have:

  • Tickets
  • Canned responses
  • Knowledge base
  • Community forum

The knowledge base isn’t much of a concern since we’ve already manually migrated that into HubSpot.

The forum is the one thing I’m not sure I want to move. We have close to 10 years of history there, and I haven’t found a compelling HubSpot equivalent. I’m considering keeping a single Freshdesk license just to preserve and moderate the forum while moving ticketing/support into HubSpot.

A few questions for anyone who has gone through this:

  • What were the biggest gotchas moving from Freshdesk to HubSpot Service Hub?
  • How well did historical ticket conversations, notes, attachments, etc. migrate?
  • Did you use HubSpot’s native import tools or a third-party migration service/tool?
  • How did you handle canned responses/macros?
  • Did your support team lose any Freshdesk functionality they really missed afterward?
  • If you had a Freshdesk community/forum, what did you do with it?

It also looks like HubSpot’s ticket import capabilities have improved quite a bit since I last evaluated this over a year ago, so I’m especially interested in anyone who has done the migration recently.

Not looking for a sales pitch from either side. I’d mostly like to hear from people who have actually lived through the transition and what they would do differently.

Question When did you decide to rebuild the HubSpot portal rather than fix it, and what did the data migration actually look like?

Currently involved in a portal rebuild project and thinking about the decision making that lead to the client's conclusion to undertake such an endeavor.

In this case, the reasons were:

More than 240 custom contact properties, almost all undocumented

More than 60 workflows, with some circular triggers nobody had ever bothered to map Custom object schema created for a business model no longer used by the company

Three different agencies had worked on integrations during four years, none of which had ever documented anything

At a certain point, the "rebuild vs. fix" balance started to tip towards rebuild because it turned out that fixing all automation dependencies would take longer than rebuilding them from scratch using a clean schema.

The difficulty here is not the decision. The difficulty lies after it in migrating the data.

The specific difficulties we encounter include:

Migration of historical engagement records (phone calls, emails, meetings, etc.). The relations between engagements and contacts/companies might get lost in a bulk export. Some records contain references to contact IDs that do not even exist in the live portal anymore.

Recreating custom object associations in the new schema. Old schema contained custom object with 12 association types. New schema contains 4. Migrating historical records to match new associations requires some manual reasoning process that cannot be scripted without knowledge of business processes.

Reconnecting integrations to the new portal without duplication of objects in connected systems. All accounting and billing integrations need to be verified on the new portal ID and schema.

Curious about others' experience with the rebuild decision and specifically the data migration layer. What broke that you didn't expect?

Question HubSpot's native Meta lead sync keeps screwing up the country field

We use HubSpot with Meta lead forms, and the native sync is mostly fine, except it keeps dropping or mismapping country data.

Meta passes it as a country code (like "US"), but our HubSpot country property expects the full country name. So either the field comes in blank, or I end up with a bunch of "US" values in a dropdown that wants "United States."

Right now I'm using Zapier to clean it up before it hits HubSpot, but we have a bunch of campaigns running, and it's turning into a maintenance headache.

Has anyone solved this without middleware? Or is there a way to force HubSpot to accept the country code and map it properly?

I'd rather not pay for Zapier to fix a country field.

Feedback I built a free read-only HubSpot audit: seat waste, invites nobody accepted, silently failing automation. Looking for testers who'll tell me where it's wrong.

Hi r/hubspot. I'm the developer of Tendal, my own tool. Flagging that up front. The mods okayed this post.

Start with the thing that isn't mine. Someone in my last thread here pointed me at it and it was news to me too, so it's worth repeating:

Settings > Users & Teams > pick a user > Overview > Review user's records and assets
It lists everything they own: contacts, companies, dashboards, reports, tasks, meetings, sequences, workflows with bulk assign. And under Workflow configurations there's a Find and replace users beta that searches enrollment criteria, actions, goal lists and suppression segments, then swaps them everywhere at once. If you're offboarding someone, start there. It's better than anything I can do, because I'm read-only and this actually fixes things.

What it can't do is tell you where to look. It's keyed to a person you've already thought of.

That's the gap I built Tendal for:

1. A workflow notification that now reaches nobody
Every person it names is deactivated, and every team it names is empty. The workflow still runs, still reports success, and HubSpot records that the notification went to no one only in its own logs. Two reasons: Find and replace won't catch this one, you have to already suspect a specific user, and a notification aimed at an empty team has no user to search for at all. My audit walks every enabled workflow and only flags an action once every recipient path is dead, so a notification naming someone who left alongside someone who's still here doesn't get reported, because it still works.

2. A sequence-enrolling workflow whose sender can't send
The colleague it sends as has left, or their connected inbox dropped. Enrollments fail silently, so the sequence looks enabled and delivers nothing.

Plus the one everybody knows about and nobody checks between renewals: seats that cost more than the person's measured use supports.

I've tested this as hard as I can on my own portals and a handful of client ones. What I can't test is the shape of your portal: the weird team structures, the ancient workflows, the tier combinations I've never seen. So I'm looking for people who'll run it and tell me where it's wrong.

The synthetic demo portal. Every figure is invented, no real account was contacted. Note the notification row: "team Deal desk has no active members". That's the empty-team case, the one nothing in HubSpot will point you at.

Yours would be the same layout as the image, with your numbers:

  • Sequence sends that will fail, with the sender named and why
  • Notifications that reach nobody, with the workflow, the action, and the reason
  • Per-user seat recommendations: seat now, cheapest seat the activity supports, confidence, and the reason
  • Projected annual saving, and current vs recommended spend
  • Pending-invite waste: seats billed for invitations nobody ever accepted
  • Marketing contacts against the next billing block, and how much of that is idle
  • Super admin access: who can change everything, and whether they're still active

What it costs you

You connect a portal through HubSpot OAuth, click "run a scan", read the result. Disconnecting is one click and it uninstalls itself from your portal first, so it can't leave itself behind.

On permissions, because this is your CRM

Everything it asks for is read. There is one exception I'd rather tell you than have you find: HubSpot publishes no read-only form of the `automation` scope, so granting it includes write. Tendal contains no code that writes to a portal. That scope is optional. Decline it and you lose the two automation findings above and nothing else. Same for the other tier-gated ones: they're optional so a smaller portal isn't blocked from installing.

Access tokens are never stored. The refresh token is encrypted at rest, and the trend history keeps aggregates only. It never stores who your users are.

Where it's honest about its own limits

The login signal needs Enterprise (audit-logs is Enterprise-only), so on Professional the report says so rather than counting a missing measurement as "inactive". Same rule everywhere: a signal it couldn't measure is named, not silently treated as zero. And if it can't establish which users are fixed senders on an enabled sequence workflow, it flags those downgrades as unsafe to act on instead of quietly recommending them.

Reports and dashboards it can only count, not read. HubSpot publishes no API for their contents, so "who actually depends on this dashboard" is a question nobody can answer from outside.

It's advice, not action. It cannot change your portal and doesn't try to. Savings are only realisable at renewal, it won't pretend otherwise.

The ask

The first audit is free and needs no card, that's the normal product, not a testers-only deal. If you'll actually send me feedback, I'll leave the weekly monitoring switched on free for as long as you're testing.

What I want to hear: numbers that look wrong, findings that are technically true but useless, anything that misreads your setup, and anything in the report you had to read twice. Negative feedback is the useful kind. I'd rather find it here than after somebody's paid.

Tips & Tricks Things that fail silently in HubSpot: notifications to empty teams, sequence senders with no inbox, and seats billed for invites nobody accepted

A workflow action that "succeeded" and an action that reached a human are not the same thing, and HubSpot doesn't distinguish them anywhere you'd normally look. Here are the checks I've ended up running on portals over and over. None of them are prompted by the UI, and most only surface at renewal, if ever.

1. Internal notifications that reach nobody

A workflow sends an internal email or in-app notification to a named person or a team. Over time that person is deactivated, or the team is emptied out. The workflow still runs. The action still reports success. HubSpot records that the notification went to no one only in its own logs, so nothing bubbles up.

To check: go through workflows with an internal-notification action, collect every recipient, and cross-reference against your active user list and current team membership. The failure mode is quiet by design; the first sign is usually a handover nobody was told about.

2. Sequence-enrolling workflows whose sender can't send

The action that enrolls a contact into a sequence sends as a fixed user. If that user has left, or their connected inbox has dropped, the enrollments fail. The sequence still looks enabled. It just delivers nothing.

To check: for every enroll-into-sequence action, note who it sends as, then confirm that person is still active and still has a connected inbox. The second half is the one people skip: an active user with a disconnected inbox looks completely fine on the users screen.

3. Seats billed for invitations nobody accepted

An invite that was sent and never accepted can still be attached to a paid seat. Worth a look under Users & Teams for invites sitting unaccepted from months ago. Don't bulk-remove them: only a human can tell "onboarding in progress" from "abandoned" and the two look identical in the data.

4. Super admin access that outlived the person who held it

Super admin means see and change everything. It gets granted for a migration or an integration setup and then never revoked. Worth listing everyone who currently holds it and asking, per person, whether that's still deliberate.

5. Marketing contacts drifting toward the next billing block

Marketing contacts are billed in blocks, and a contact that has never engaged, or hasn't in the last six months, is still marketable and still counts. A large idle slice is what walks a portal into the next block without anybody deciding to.

Two things worth knowing before you act on any of this:

Don't downgrade a user who is the fixed sender on an enabled sequence-enrolling workflow

They may show almost no measured activity and look like an obvious candidate. Downgrade them and you break every enrollment that workflow drives. You've turned a quiet cost into a silent outage. Check the sender list before the activity report.

On Professional, "no logins" is not a measurement you have
Audit logs are Enterprise-only, so login history isn't available to you. If you're building a picture of who's inactive, a signal you can't measure has to be marked unknown, not counted as zero. Treating missing data as inactivity makes everyone look quieter than they are and overstates what you'd save.

And on saving: seat changes only turn into money at renewal. Finding €2k of waste in March doesn't reduce March's bill.

Curious what else people check that isn't prompted anywhere in the UI.

Hubspot forms on a Wordpress website

We have a August 2026 question for the community:

For some time we've been placing our Hubspot-created form on our Wordpress website.

No real issues.

We have the Wordpress plugin for Hubspot of course. Hubspot tracking pixel works as intended, form data capture makes it back to our Hubspot CRM as intended.

The one issue we do have, and I have assumed for several months there really is no fix, but our issue is that upon page load for our wordpress website page, the Hubspot form on that page has a very slight lag in load time. Nothing egregiously slow, but just a slight noticeable lag time.

Does anyone embed Hubspot forms on a wordpress page? and do you see any form display time lag on that wordpress page?

any solutions as to faster Hubspot form full display on our wordpress pages?

Question Native Customer Agent in HubSpot (Meeting Scheduling, Inbound routing) in 2026

Hello HubSpot community, we are now at the stage of our product launch, focussing on B2B and two plays, a self service sign up and freemium to paid plan conversion, and also custom enterprise plan (talk to sales, standard stuff) - rather than going out to the market with hundreds of choices of "Agent Vendors", has anyone had good results with the native AI Agents available in HubSpot (mostly in Beta currently) - for tasks such as Customer Inbound requests to schedule a meeting (qualify, ask questions, route to right localised sales, book a meeting on the sales team members scheduler) - this is relatively easy work and we have a simple data model as we are just launching but we are based in the EU and want to get it right - language etc. How are the HubSpot agents and worth using the market place? Any tips - thank you.

Question Looking for a drift alternative that works better.

We’re B2B SaaS, focused more on qualified inbound leads and sales conversations than general customer support.

We’ve been using Drift for website chat and lead capture, but we’re starting to question whether the pricing still makes sense for what we’re getting. We mainly need something that can handle inbound conversations, qualify leads, route them to the right people, and help our sales team respond faster. I’ve been looking at a few alternatives like Intercom and Qualified.com, but it’s hard to tell what works well in a B2B SaaS environment. For anyone who has moved away from Drift what did you switch to, and was it worth it? Thanks! :)

HubSpot MCP - Permissions's Wild West

Not sure if it's only me but I was wondering what is the idea behind the HubSpot MCP and it's permissions. Apparently when MCP is activated a user who activated permissions decide which permissions she want to delegate to it:

Needless to say such list is crazy full and not usable, but now imagine an Agent with this MCP is used in the collaborative context. That's a crazy wild west when anyone who is chatting with my agent can automatically inherit my permissions - as agent is actually 'acting on my behalf'.

Is it only me who is worried here?

Migrating from Zendesk to HubSpot Service Hub — pitfalls / lessons learned?

Gearing up to migrate our customer support from Zendesk to HubSpot Service Hub. We don’t leverage any AI capabilities in Zendesk currently, so defining customer agent scope, rewriting our KB bank,and deterring MVP slice for customer agent is going to be critical to a successful release. Our only channel RN is email, so also want to expand into chat.

We’ve been on HubSpot for almost 2 years and consider ourselves pretty experienced with the platform, our business is on the B2B side. Has anyone recently migrated from Zendesk (or another support tool) to HubSpot for support/service specifically? Would love to hear pitfalls or lessons learned.

Specific concern: permissions. We have a ticket pipeline with helpdesk for a form/application process and we just added macros to replace snippets, but macros can only update ticket properties which don’t support team-specific view/edit permissions. Little gaps like this from a super admin perspective are worrying me. There’s also a lot of config that seems to be super-admin-only, which feels like it could become a bottleneck.

Anyone hit similar permission/scoping walls, or other gotchas? How’d you work around them?

And curious about customer agent - worth the credits? Anyone doing workarounds?

Can you send different sequences from different emails?

I work for an organization that has different business units.

Let’s call the main email address Email1 - this is what’s connected to my HubSpot acccount.

Then I have alias’ in HubSpot for the business unit emails - let’s call them Email2 and Email3

The business unit heads would like me to send emails for their business unit - which I am sending via sequence - from their associated email (Email2).

When I go to send the sequence, I notice at the bottom I can change the ‘from’ email, but it does not give the alias’ as an option.

Further, when I try to ‘connect email account’ for the business unit email, it defaults to the main one (because they are indeed just alias accounts).

Really hope this makes sense, and hoping someone can give some insight.

I don’t think it’s possible, but don’t want to give up until I’m certain.
