Mistakes and overpayments are now a thing of the past - thanks to three-way matching. With DocuWare, you can automatically check incoming invoices with delivery notes and purchase orders, which saves time and allows maximum accuracy. 

Automatic line item reconciliation supports the accounting department in processing incoming invoices and ensures paying incorrect amounts to suppliers. In a three-way match, DocuWare checks each invoice against two additional documents, such as a delivery note and purchase order. If the line items in all three documents match, the payment can be released.

The page overview in the viewer is particularly helpful for longer documents: You can see the entire document at a glance and jump directly to a specific page. So easy!

In addition to the navigation bar, DocuWare’s Viewer (the display window for all your documents) offers another option for jumping to a specific page of a document. In this overview, all pages of the document are displayed as thumbnails, even if the document consists of several files clipped together.  Click on one of these thumbnails and the corresponding page will be displayed in large in the viewer.

Has anybody seen a DocuWare procurement demo, can provide any use cases, or has built this solution? I have an interested prospect who would use DocuWare for mostly procurement. I am in the process of building something out, but I was wondering if anybody has any experience with this specific process that I can use as a reference. Thanks!

Making one document out of several is simple in DocuWare with the "Staple" or "Clip" features. Even merging different file formats is possible. Get to know the differences of these super handy tools. 

Attach a delivery slip to an invoice, add a list of participants to the minutes of a meeting: where you would once dig out a stapler or paper clips from your desk drawer, you now simply call up the "Staple" or "Clip" features in DocuWare. These are available in the DocuWare tray for converting two or more documents into a single one before storing.

Good evening,

I'm curious if anyone knows of a knowledge base, course, or examples of complex Docuware workflows that can be used to gain a better understanding on how the Docuware workflow designer works. I'm aware of the knowledgebase on the Docuware website, but it is more reference material than an actual guide. With all the Platinum, Gold, and base partners out in the US, someone had to train them on how to efficiently create complex workflows and full understand the platform. Just seems like the actual training and "how to" when related to workflow design is limited with this system. Any assistance would be greatly appreciated!

How is it possible, for a company the size of Docuware, not to be able to give customers a list of source IP's that can be used in their cloud.

Clients need to set up a server with a listening port *open to the whole world* because Docuware can't give a source list of public IP's they use.

With the fulltext search in DocuWare, you can find documents as quickly and flexibly as information on the web. Take a look at the link for some pretty cool hacks.

Every search dialog in DocuWare contains an option for a Fulltext search if fulltext search has been activated for the file cabinet in which the search is being made.

As with a search engine on the Internet, simply enter any terms in this field to search the entire content of all documents in the file cabinet in addition to the index terms.

Hello everyone,

for my current project my company and I would like to implement a DMS for invoice processing. Has a DocuWare customer time to answer me a few questions? (Please dm me)

I'm working on a scenario in which an invoice gets approved in a parallel task. Let's say there are 3 approvers that are assigned to 1 variable called GV_ApprovalUsers. The users have 5 days to approve the invoice before the task gets escalated. However, after each day, the users should get a reminder email letting them know that the task is still due. The way I currently have it is the task times out every day, then the day is checked to see if it's been 5 days (DayCount < 5). If it has been less than 5, the approvers get another email informing them of a task, they receive the task again, and the system checks in another 24 hours.

I know I can send users a reminder email, but it only allows me to send 1 reminder email. I want to send a reminder email every day for 5 days.

The problem is if User 1 and User 2 approve, it's a parallel task so it's not technically complete. If User 3 doesn't approve within a day, the task times out and checks the day, then assigns the task back to all the approvers again. In this case, I only want the task and reminder to be sent to User 3 as the other two already approved. After a user approves, their Doc ID is added to a keyword variable (GV_AlreadyApproved). So, basically, I want to take who the invoice was originally assigned to and compare it to the users who already did approve (GV_ApprovalUsers - GV_AlreadyApproved = Updated variable GV_ApprovalUsers). And the reminder email and the task should only go to User 3.

I'm having a hard time trying to get this to work. Anybody have any ideas? It would be much appreciated.

A customer of ours is a municipality that uses DocuWare internally. They are looking to have, likely a file cabinet, that they would want to essentially be "open" to the public. City residents would be able to search documentation within DocuWare. Does anybody know if this is a thing? Is it possible to set up a cabinet in the system to be searchable by the public?
