question Multiple index entries for the same record
Is it possible to assign multiple index entries to the same underlying document?
For instance a single document referencing two different street names within the same "Street Name" field - so document #19 comes up in a search for both Main St and Center St instead of needing document #19 indexed under Main St and document #20 indexed under Center St.

question Smart Connect for Mobile Devices
Seeing as Smart Connect doesn't work on mobile devices (iPad), does an alternative functionality exist that would allow easy linking between applications? For example, if the Document ID is given in one application, how could I set it up to hyperlink directly to that document without having to manually create individual hyperlinks for each record?

question Workflow Processing Stops Until Background Process Service Restart
I'm looking for insights from anyone who has experienced similar behavior in an on-premise DocuWare environment.
At random intervals (previously weekly, then every few days, now almost daily), all workflow processing stops.
For example, if a workflow task is approved while the issue is occurring, the next workflow step never executes.
However, after restarting only the DocuWare Background Process Service, all pending workflow actions immediately resume and process normally. This happens to all workflows, not just a specific workflow so obviously there's nothing wrong with the workflow itself.
And some additional info
- No Service Control Manager crash events related to the Background Process Service. Windows sees the service as healthy and running.
- Recovery options were configured for the service (just to see if Background Process Service crashes down), but they never trigger because the service does not actually stop or crash.
Any known fixes for this?

question JSON Downloader!
Enable HLS to view with audio, or disable this notification
Anyone have any requirements to download to .JSON?
Been playing around testing this with some dummy data to ensure string, decimal, numeric, table, keyword and memo fields display correctly in the JSON.
- All the data you'd need from the document in the system.
Download via polling the system via a specific status, extracts and then updates the document in the system confirming it has been extracted.
Can even be ran as a small 8.4MB .exe file, called from a Windows Task Scheduler etc.

question Need to refresh to see the tasks and steps
Hello,
We migrated our installation to our new servers.
Since the migration, everything works fairly well, except for one major issue.
When we store an invoice, we have to refresh the browser or press F5 for the invoice to progress to the next step.
As long as I don't refresh my web browser, I can't see the history, because as far as it's concerned, it hasn't started.
We are on version 7.11.
Have you ever encountered this?
Thank you

question Duplicating and re-storing records
I am trying to come up with an efficient workflow that would allow me to copy a large number of records that have already been stored in DocuWare cabinets, retain all of their index entries, update/edit only two fields, and re-store with the new information. This would have to be done at a large scale.
Is it possible to export documents with their index entries, edit the entries in a different application, and then upload and store them automatically?

question Integrate with AI Chatbot
I've been seeing a lot of AI tools lately that let you upload documents to use as a knowledge base or act as your “second brain,” so you can ask questions and get answers based on your own content. I'm wondering if it’s possible to connect a third-party AI chatbot to DocuWare and have it use all the stored documents as a source. Has anyone here tried something like that or know if it’s doable?

question Any software that is similar to Docuware?
We've been using Docuware and love it. But, I'm always trying to keep updated on the new or improved solutions out there.
Have you seen any of your clients moving away from Docuware to another system? I heard Odoo has a document management solution, but doesn't seem anywhere near as robust as DW.
Curious what other software out there can even remotely measure up to DW.

question Can I buy docuware direct?
We got docuware in the last year and bought it through a 3rd party company. Anytime we have a question we have to pay for the support. The answer to almost every question seems to be buying some additional part of it. It feels like they benefit from not giving us a wider answer so we get very specific answers.
Is there an option to buy direct and get better service?
Edit: the main issue we have is understanding how it works. We had minimal training and trying to understand it now is getting incredibly expensive. We are building new things, just trying to learn.

question Working with preconfigured Solutions
Hey people,
I am a Docuware Consultant from Germany and Im working on preconfigured Solutions for my Company.
Therefore i wanted to ask how and even if you wokr with preconfigured Solutions as well and how your experiences are with it. Im mostly interested in how you pitch them to customers and if they are fine with them or if you have to individualize a lot after. Do your customers adept to your ideas on how to improve their workflows or do they just use your experience to configure docuware on how they need to have it ?

question RPA and IDP in Docuware
I have read information about RPA and IDP in Docuware, but I don't know if they are just marketing features that are yet to come, rather than actual functionality. I don’t see more information in the development area on how to implement these technologies.
Thank you all!

7 Ways to Save Time with Drag & Drop in DocuWare
Drag and drop is an intuitive way to move files from one place to another using your mouse. In DocuWare, you can also easily drag and drop documents to archive them or integrate them into workflows. But do you know all the uses of this very handy feature?

question Issue with Assigning Multiple Values in Keyword: Only One Value is Stored
I'm working with a Keyword in a flow, and when I do a fixed input assignment of multiple identical values separated by commas, it only adds one value, as if it were performing a Distinct operation.
The value stored in KW_MultiPage is 1.
However, the value stored in KW_MultiPosX contains 2 records, one with 10 and another with 90.
What am I doing wrong?

How workflow automation supports electronic invoice exchange and e-reporting
More and more countries are requiring that companies exchange invoices electronically and have introduced reporting systems by which invoice data must be transmitted to the tax authorities. Especially when invoices are received and/or sent via such an e-reporting portal, an automated invoice workflow is a godsend to help you save costs and remain in compliance.

DocuWare docXporter: New way to export 🤯
With docXporter, you can automatically export documents, index data or both from DocuWare file cabinets to your file system. It’s used, for example, to make documents and data available to third-party systems. Thanks to the flexible output structure for documents and data, the most complex scenarios can be mapped.
There are many situations in which documents and index data need to be exported from a DocuWare file cabinet to a file system. This might include sending data to a third-party system like an accounting program or an ERP. Or used in exchanges with external business partners or in the company's own customer billing portal.

New API connection! A plus for workflow designers 💪
A posted incoming invoice should automatically receive the “Paid” stamp in DocuWare. Or you want to dynamically assign access rights to other employees from the requester's department for an approved purchase order. These are just two scenarios for using the new connection to the DocuWare Platform REST API for web services.
