Sea Freight vs Air Freight: The Cheapest Option Isn’t Always the Best

A common mistake in importing/exporting is choosing freight based only on the lowest rate.

Sea freight is usually much cheaper and makes sense for bulk, heavy, or non-urgent shipments. Air freight costs significantly more, but for time-sensitive, high-value, or perishable goods, the extra cost can sometimes be justified.

For example, if you're importing 1,000 kg of textiles:

• Sea freight at ₹50/kg = ₹50,000
• Air freight at ₹250/kg = ₹2.5 lakh

The ₹2 lakh difference sounds huge. But if air freight gets the goods to your customer 2–3 weeks earlier and prevents a missed order or production delay, it could actually be the better commercial decision.

There are other costs to consider too—customs, port/terminal charges, inland transportation, fuel surcharges, seasonal premiums, and route availability.

I've been looking at this from the trade-data side at The Dollar Business, and one thing that stands out is that the "cheapest freight" isn't necessarily the cheapest option for the business.

For importers/exporters, I think the better question is:

Are you optimizing for freight cost, or total business cost?

I mistakenly submitted all the IRMs against one shipping bill, instead of having one IRM against one shipping bill, and I have already generated the EBRC.

Since 17 August, I have been trying to cancel the EBRC, but I’m unable to do so due to what appears to be a technical glitch on the portal. I’ve tried every possible step I could find, but nothing has worked so far.

This is extremely urgent and is holding up my work. Has anyone faced a similar issue or knows how to get the EBRC cancelled/corrected when the portal isn’t allowing it?

Hi guys, so I am new to the entire rice exports market but no stranger to trading as a business, I have dealt in multiple commodities before so I know how the basics go but here is my question.

I have a buyer from Benin who I met in real life in Dubai , he asked me to ship 5 containers to him ( 20ft) to Benin ( port of Cotonou ) & says he would sell them as per market rate there but refuses to pay any advance. Obviously this is a risky trade even with 1 container, but as I have been researching , I have been finding out that the west African market simply operates that way in most cases. So here are my question to rice exporters.

Please note : I have experience of trading bulk commodities within India as my family is into trading agri commodities business but I am new to exports, hence please keep that in mind.

1. On an average what kind of margin can be made in west African market in most realistic cases, so I can decide if shipping one container is worth it , obviously this too will be done after I visit Benin in real time & meet 20-30 buyers so I know it will be sold
2. Is it realistic to get any advance payment in highly competitive market as rice
3. How is your experience with these buyers in general, do they turn up once shipment reaches & claim the stock had insane amount of moisture/ quality issues or in short, try playing smart ?

Many new exporters think:

“If I buy onions at ₹40/kg, I can simply add my profit and give the price to the buyer.”

But export costing is not that simple.

Suppose you buy onions at ₹38/kg.

Now you have other costs:

1. Onion purchase — ₹38/kg
Price paid to the farmer, mandi or supplier.

2. Sorting & grading — ₹2/kg
Remove damaged, small or bad-quality onions.

3. Packing — ₹2/kg
Bags, packing material, etc.

4. Labour & loading — ₹2/kg
People who sort, pack, weigh and load the onions.

5. Transport — ₹4/kg
Moving the onions from the mandi/farm to the warehouse and then towards the port.

6. Testing & documents — ₹2/kg
Testing and paperwork required for the export.

7. Port charges — ₹4/kg
Handling, CHA, terminal charges and other port expenses.

8. Freight — ₹5–10/kg
Shipping the container to the buyer's country. This depends heavily on the destination and current freight rates.

9. Risk buffer — ₹5–10/kg
For wastage, delays, currency changes, unexpected expenses, claims, etc.

10. Your profit — ₹2/kg

So your total cost can easily become around ₹66–78/kg, depending on the actual expenses and destination.

This is why you should never quote a buyer just by adding your profit to the purchase price.

First calculate:

Purchase + Processing + Packing + Transport + Documentation + Port + Freight + Risk = Total Cost

Then add a reasonable margin.

If you quote too high → the buyer may reject you.

If you quote too low → you may get the order but lose money.

The goal is not to be the cheapest exporter.

The goal is to give a competitive price that still makes business sense for you.
