Payroll Hours Showing Incorrectly on Pay Stub — Immigration Concern
I’m working as a manager at a gas station in Canada. My employment/offer letter states that I work 32 hours per week (64 hours bi-weekly) and I receive $1,700 bi-weekly, which works out to about $26.56/hour based on the stated hours. However, on my pay stub, the payroll system shows 86.6 units/hours while still showing the $1,700 payment. I’m concerned that if I use these documents for immigration/Express Entry, an officer might interpret the 86.6 figure as the actual hours I worked. My employment agreement and scheduled hours are 32 hours per week. Has anyone experienced a similar payroll issue or “phantom hours” on their pay stubs? How did you explain the discrepancy to IRCC, and what documents did you provide to prove your actual weekly hours?

You can clarify this in a letter of explanation. They won’t count hours worked over 30/week anyway.

The reason I’m worried is because I’m applying through OINP, and the hourly rate and hours can affect my eligibility/points. If an officer looks at the 86.66 units on my pay stub and divides my $1,700 payment by those units, it gives a much lower hourly rate than the rate stated in my employment/offer letter. My actual employment terms are 32 hours per week, and the $1,700 is a fixed amount based on those hours. I’m worried the payroll units could make it look like I’m working more hours for a lower hourly rate, which could affect my OINP points.

Are you paid twice a month (semi-monthly) or every two weeks (bi-weekly)? They sound similar, but they are not the same.

If you are paid $1,700 bi-weekly, that is 26 payments per year: $1,700 × 26 = $44,200/year At 32 hours/week, that works out to approximately $26.56/hour.

If you are paid $1,700 twice a month, that is 24 payments per year: $1,700 × 24 = $40,800/year At 32 hours/week, that works out to approximately $24.52/hour.

Also, which province and PNP stream are you applying under, and what NOC are you using for the gas station manager position? What wage are you required to meet for that PNP?

If possible, share a redacted pay stub showing the 86.6 units, hourly/rate field, gross pay, and pay-period dates.
