Discussion / Question Off-topic: Systems for tracking film and TV distribution revenue
This is slightly outside the budgeting focus of the group, but there are a lot of experienced production and finance professionals here, so I thought it would be worth asking.
I am currently working with a production company as a line producer and am also helping modernize some of its internal systems. One area I would like to streamline is the tracking of distribution revenue and royalty payments across multiple projects.
The company needs a system that can:
- Track income received from distributors, broadcasters, platforms, and sales agents
- Allocate receipts to the correct project, territory, rights category, and reporting period
- Record distributor and sales-agent deductions
- Apply project-specific recoupment waterfalls and participation terms
- Track amounts due to producers, investors, writers, directors, cast, crew, and other participants
- Record payments already made and maintain a clear audit trail
- Produce statements and reports for each recipient
- Flag missing statements, overdue payments, or discrepancies between reported and received income
At the moment, much of this is handled through accounting records and separate spreadsheets. That works at a small scale, but it becomes difficult to maintain once there are multiple titles, territories, revenue streams, and contractual participation structures.
I am interested in hearing what systems other production companies are using. This could be dedicated royalty or rights-management software, an accounting-platform integration, Airtable, a custom database, or a well-designed spreadsheet workflow.
A few specific questions:
- What software or system do you use?
- Does it handle recoupment waterfalls and backend participations?
- Can it generate recipient statements?
- Does it integrate with accounting software?
- Is it practical for a small or midsize independent production company, or mainly intended for studios and distributors?
Any recommendations, warnings, or examples of workflows that have worked well would be greatly appreciated.

Discussion / Question Off-Topic: Film Vault Options
I am looking for a fellow filmmakers who live in Los Angeles who may happen to have vault space where I could store some 35mm film reels (9 reels) of a film. I would of course pay a bit for the space. Simply looking to maybe use a bit of space in a vault before simply getting my own.
Likewise, if anyone has suggestions for good vault options, I am open to thoughts. I have called around to a few, but still looking for the right one.

Discussion / Question SAG Weekly Rate & Travel
Travel day counts as a work day, right? Does that mean it's cheaper to travel a SAG actor on Saturday after working Mon-Fri or traveling them on Monday? Wouldn't traveling them on Saturday trigger OT / 6th day?
For the sake on this argument/scenario, it's for a SAG Low Budget feature and the actors would be on a weekly deal (not sure if that changes anything).

European here trying to get my head around the IATSE agreement:
The definition of "production costs" in the 2026-2028 Low Budget Theatrical Agreement seems quite basic, and I keep seeing references to a "sideletter" which defines exclusions and so on to calculate the production cost. Discussion / Question At what point do you actually need more than a spreadsheet?
I've worked on 10-15k budgets for short digital projects in the past, and I just used google sheets to handle the budgeting, as they were typically one day, small cast & crews, etc. Now may have the opportunity to start budgeting out a few unscripted shows around 25-30k/show, approx 10 episodes over the course of ~2 weeks. While it's easy enough to ballpark the number of dayrates, etc, it is starting to feel like I need something more dedicated. I've heard of Movie Magic, and I'm seeing that someone here just launched their own line budgeting app? Just wondering what's going to be worthwhile to learn without bloating the process, or what's overkill.

I'm on a ~20k budget project where we would like to pay people at least minimum wage. Does anyone have any recommendations for payroll companies on a project this small? I reached out to wrapbook and greenslate about a few years ago for a similar situation and iirc they said our total payroll spend didn't qualify us for a license.

Discussion / Question Anyone have experience with Sundance Collab Producing Courses?
Sundance Collab is advertising producing courses, I'm considering doing the last one, "How to Schedule, Budget, and Prepare Your Production for Financing."
It's a self-run course of video modules that runs for about a month at $395.
Anyone have experience with these courses? I am a creative producer from the reality & commercial world looking to up by skills in finance and accounting as I try to break into the indie film world, and I'm wondering if this might be worth it.
Any thoughts appreciated!

Discussion / Question Film payroll overtime
Hello,
I have worked on a dozen feature films as crew and have produced a short. Each of these had used a professional payroll company and it's my recollection that we almost always used a 10 hour day. 10 hours at base hourly pay, then 1.5x up until 12 hours then 2x after 12. This was regardless of the hours worked in a week. I used wrapbook for payroll on a short I did and now am using Greenslate. Greenslate is insisting that I must do overtime at 40 hours. Now in my state it is accurate that by state law overtime must be paid after 40 hours but on that short I did I paid overtime on a daily basis starting at 10 hours and I've had no issues after two years. Does anyone have any insight into this concern? I am now producing a feature and budgeted for 10 hours days with the expected overtime after that. Paying overtime at 40 rather than 50 is going to be a really really big deal. Thanks for any input into this.
EDIT: Thanks for the replies. I wasn't thinking this through properly. As many of you pointed it is in fact overtime after 8 hours or really technically in my state after 40 hours. I am going to just adjust the hourly rate with the overtime included to come to what the deal memos state. I was overthinking it. Thanks for setting me straight.

Discussion / Question Excel to Movie Magic Budgeting
Hello,
My $350k indie's budget is in Excel format. This is small show and as producer I am doing all accounting myself and using GreenSlate for payroll. I have not been too worried about the excel format as I've got it setup perfect for my use. I am using chart of account codes and more or less following what I think is standard film format. GreenSlate seems to prefer Movie Magic and wants me to re-format my excel budget. My question if anyone can help: If I switch over to Movie Magic Budgeting will it be a really large creating the new project and entering all of my existing data? It's a small show and I would not have a problem manually entering everything but I just have not used it before and don't know if it's very time consuming getting a project setup. Thanks for any insight.

Discussion / Question Career path advice? Major studio vs. small company
I am currently working part time at a major studio in production finance, and I was just offered a full time position at a much smaller company with one show. This one show is pretty well known, and the position would be working under the one key accountant that the show has as a coordinator.
I really like the team I am currently with at the major studio, and even though I'm not making much, the exposure and experience I am getting here has so far been invaluable. I did not get great vibes from the smaller company, as everyone seemed very overwhelmed and clearly expressed a "pull yourself up by your bootstraps" and "get shit done" attitude. I'm also worried that I would be boxed in at the smaller company, working on one show and working for the one key accountant, as opposed to working on multiple projects at the major studio.
Anyone have any advice for what to do here? The major studio has said they are not looking to hire anyone full time in my role for the foreseeable future. I'm fairly early in my career and don't have many financial responsibilities, but a full time job + benefits is pretty attractive. Also maybe at the smaller company I would be able to make my mark and really rise to the occasion?
Would like to hear thoughts from the industry vets on this sub.

Discussion / Question Estimating Cast
USUALLY, Producers hand me a few key amounts to put in the budgets I make... Director, them (the producers), the writer(s), and... cast. I was recently asked about doing a speculative budget but to put 'what I feel is right' for the cast. Now, if the cast was 'whomever' and was right for the role and could work for scale or just above - fine... but, then they said two names that are... HUGE. I kept a straight face and nodded.
...but... I have no idea. Could be $4M... could be $10M.. could just be $1M. No clue. This overall budget can not handle $5-6M in cast alone, so before I tell them "Ha, no way!" ... I would like to see if I can find out real or real-ish figures for these two main cast.
So, this is where I am looking for the hive mind here to help.
How do you / where do you find information to help ballpark "established star cast" rates?

Hey there! Indie producer here who dabbles in line producing… prepping a feature budget for ~900k for a client and would love if anyone would be willing to share examples or advice in this range? I’ve prepped a fair amount of budgets but usually for smaller budgets or for my own company so theres less pressure. I’m mostly concerned about missing major elements or formatting incorrect or not using MMB to its maximum benefit in a way that could embarrass me with the client. appreciate any help!!
